These Terms of Service ("Terms") govern your access to and use of Mileo, an AI meeting assistant that helps record meetings, transcribe audio, generate summaries, organize contacts, and surface meeting context (the "App"). These Terms are between you and Mileo ("Mileo," "we," "us," or "our").
By downloading, installing, accessing, or using the App, you agree to these Terms. If you do not agree, do not use the App.
1. The App
Mileo is a desktop application designed to assist with meeting workflows. Depending on the features you enable, the App may capture microphone audio, system audio, meeting metadata, transcripts, summaries, contact information, notes, and context from connected third-party services.
Mileo is intended to support your productivity. It does not replace your own judgment, professional advice, compliance obligations, or responsibility for communications with other people.
2. Eligibility and Authority
You must be legally able to enter into these Terms. If you use the App on behalf of an organization, you represent that you have authority to bind that organization, and "you" includes that organization.
3. Recording Consent and Meeting Responsibilities
You are responsible for complying with all laws, contracts, workplace policies, and platform rules that apply to recording, transcribing, summarizing, storing, or sharing meeting content. Some jurisdictions require consent from every participant before recording a conversation.
Before using Mileo in a meeting, you must provide any required notice and obtain any required consent from participants. You are responsible for how you use, disclose, edit, export, or rely on recordings, transcripts, summaries, contact profiles, and other output generated by the App.
4. Local Data and Your Content
Mileo is designed to store meeting and contact data locally on your device unless you choose to connect third-party services, use external model providers, export data, sync data, or otherwise share data outside the App. You are responsible for maintaining the security of your device, operating system account, backups, exports, and any services you connect.
"Your Content" means audio, transcripts, summaries, notes, contact records, profile data, imported emails, calendar or meeting history, and other information that you provide to, create with, or make available through the App. As between you and Mileo, you retain your rights in Your Content. You grant us the limited rights necessary to provide, maintain, secure, troubleshoot, and improve the App, subject to your settings and applicable law.
5. AI, Transcription, and Summaries
The App may use local or third-party speech recognition and language model services to produce transcripts, summaries, action items, contact context, and suggested assistance. AI-generated output can be inaccurate, incomplete, delayed, or inappropriate for your specific use. You should review important output before relying on it or sharing it.
You should not use Mileo as the sole basis for decisions involving legal, medical, financial, employment, safety, or other high-impact matters.
6. Third-Party Services and Integrations
Mileo may allow you to connect services such as meeting platforms, email providers, calendar providers, CRMs, local model runtimes, or AI model providers. Your use of third-party services is governed by the terms, privacy policies, and permissions of those services.
When you authorize an integration, you instruct Mileo to access, process, and store information from that service as needed to provide the connected feature. You are responsible for ensuring that you have the right to connect those services and process the information made available through them.
7. Acceptable Use
You agree not to use the App to:
- violate applicable law or another person's rights;
- record or monitor people without required notice or consent;
- upload, generate, store, or share unlawful or harmful content;
- misrepresent AI-generated content as verified fact;
- interfere with, reverse engineer, or compromise the App;
- circumvent usage limits, license checks, or security controls;
- use the App to build a competing product in violation of these Terms or applicable law.
8. App License
Subject to your compliance with these Terms, Mileo grants you a limited, non-exclusive, non-transferable, revocable license to install and use the App for your personal or internal business purposes. We reserve all rights not expressly granted to you.
You may not copy, modify, distribute, sell, lease, sublicense, or create derivative works from the App except as permitted by applicable law or by a separate written license from us. Open-source components included with the App are governed by their respective licenses.
9. Accounts, Credentials, and Security
You are responsible for safeguarding your device, App data, connected service credentials, OAuth authorizations, exported files, and any account credentials used with the App. Notify us promptly at support@mileo.co if you believe the App or your connection to a Mileo-operated service has been compromised.
10. Fees and Paid Features
Some features may be free, paid, trial-based, or subject to usage limits. We will present applicable fees and payment terms before charging you. Third-party services, model providers, internet access, storage, and data usage may result in separate charges from other providers.
11. Updates and Availability
We may update, modify, suspend, or discontinue the App or any feature at any time. Updates may be required for security, compatibility, or continued operation. We do not guarantee that the App will be available without interruption or compatible with every device, operating system, meeting platform, model provider, or third-party service.
12. Privacy
Our handling of personal information is described in our Privacy Policy. If the App links to a separate Privacy Policy, that policy is incorporated into these Terms by reference.
13. Feedback
If you send us ideas, suggestions, bug reports, or other feedback, you grant us permission to use that feedback without restriction or compensation to you.
14. Termination
You may stop using the App at any time. We may suspend or terminate your access to Mileo-operated services if you violate these Terms or if continued access would create legal, security, or operational risk. Upon termination, your license to use the App ends, but sections that by their nature should survive will continue to apply.
15. Disclaimers
The App is provided "as is" and "as available." To the fullest extent permitted by law, we disclaim all warranties, whether express, implied, or statutory, including warranties of merchantability, fitness for a particular purpose, title, and non-infringement. We do not warrant that the App will be accurate, complete, secure, error-free, or uninterrupted.
16. Limitation of Liability
To the fullest extent permitted by law, Mileo and its affiliates, officers, employees, contractors, and licensors will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost data, lost goodwill, business interruption, or the cost of substitute services.
To the fullest extent permitted by law, our total liability for any claim arising out of or relating to the App or these Terms will not exceed the greater of the amount you paid to us for the App or Mileo-operated services in the twelve months before the claim arose or one hundred U.S. dollars (US $100).
17. Indemnity
You agree to defend, indemnify, and hold harmless Mileo and its affiliates, officers, employees, contractors, and licensors from any claims, damages, liabilities, losses, and expenses, including reasonable attorneys' fees, arising from your use of the App, Your Content, your connected services, your violation of these Terms, or your violation of law or another person's rights.
18. Changes to These Terms
We may update these Terms from time to time. If we make material changes, we will take reasonable steps to notify you, such as posting the updated Terms in the App or on our website. The updated Terms will apply after their effective date. Your continued use of the App means you accept the updated Terms.
